Privacy Policy

How SynapsQ handles personal information, customer data, and your privacy choices.

Scope and Applicability

This Privacy Policy describes how SynapsQ Enterprises LLC ("we", "us"), through SynapsQ, collects, uses, and discloses information when you access or use our websites, applications, and services (the "Services"). If you are a Customer, this Policy applies to your organization's account data and billing details. If you are an End User, this Policy applies to information you provide and usage data generated by your activity in the Services.

Information We Collect

Account data (name, email, organization, role, authentication details). Usage and analytics (feature usage, report runs, query metadata, performance metrics). Logs and diagnostics (error logs, audit trails, system events). Device and browser data (IP address, user agent, settings, locale). Cookies and similar technologies for session management and analytics.

How We Use Information

Provide, secure, and operate the Services. Process billing, subscriptions, and customer support requests. Monitor performance, improve features, and develop new capabilities. Detect abuse, prevent fraud, and maintain system integrity.

Legal Bases (GDPR)

For users in the EEA/UK, we process personal data based on performance of a contract, compliance with legal obligations, legitimate interests (security, analytics, service improvement), and consent where required (e.g., optional cookies or marketing communications).

Data Sharing and Processors

We share data with trusted processors that provide infrastructure, analytics, payments, email delivery, and support tooling. These providers are contractually required to protect your information and use it only to deliver their services to us.

Data Retention

We retain information as long as necessary to provide the Services, comply with legal obligations, resolve disputes, and enforce our agreements. Retention periods may be configured in your organization's settings where applicable.

Security

We implement administrative, technical, and physical safeguards, including encryption in transit, access controls, monitoring, and incident response procedures to protect your data.

International Transfers

If we transfer personal data internationally, we rely on approved mechanisms such as Standard Contractual Clauses (SCCs) or other lawful transfer frameworks as required.

Your Rights

Depending on your location, you may have rights to access, correct, delete, export, or object to processing of your personal data. You may also withdraw consent where applicable and lodge a complaint with your local data protection authority. Send requests to legal@synapsq.com with enough information to identify your account and the request. Do not send passwords or access tokens. We may need to verify your identity or your authority to act for another person. For data controlled by your organization, contact its administrator as well.

Organization-Managed Information

Organizations choose the sources, documents, surveys, reports, recipients, and authorized users they configure in SynapsQ. Workspace administrators manage access and sharing within the available product controls. Questions about your organization's purposes for using that information should be directed to its administrator. Account deactivation, subscription cancellation, and data deletion are different actions. Deactivation can be controlled by your organization and does not itself delete shared records or cancel the organization's billing. Contact us for deletion requests that cannot be completed through the available controls.

Connected Sources and AI Features

When configured features connect to a datasource, process a document, run a query, create a report, or use AI assistance, the information processed depends on the source permissions, job, and enabled providers. AI requests may include your prompt and relevant context sent to the configured provider. Review your organization's provider configuration and applicable provider terms before submitting sensitive information. Public product-and-pricing chat is not a place to submit confidential business records, passwords, access tokens, or other secrets. Information you provide in chat or a sales inquiry may be processed to respond to that request.

Cookies and Analytics Choices

Browser storage supports authentication, saved preferences, and public-chat sessions. Where optional public-page analytics is enabled, Google Analytics is loaded after you select Allow analytics. You may decline optional analytics or reopen Analytics preferences to change your choice. The public-page analytics integration measures page visits, selected actions, and scroll depth. It is configured not to send form entries, account identifiers, or report data as analytics event fields. Blocking browser storage can affect sign-in and saved preferences; declining optional analytics does not require you to stop using the website.

Contact and Updates

For privacy inquiries, contact us at legal@synapsq.com. We may update this Policy from time to time, and we will post the revised version with an updated effective date.
